Managed Print Services – What is MPS and how does it work?
Managed Print Services (MPS) involves outsourcing the management of all hardcopy output devices, i.e. copiers, printers, multifunctional devices and fax machines, within an organisation.
Managed Document Services (MDS) considers a wider scope of services e.g. Electronic Document Management and document workflow.
A typical MPS/MDS arrangement would include the following core features:
- Existing hardcopy output device fleet and any new devices and solutions deployed are consolidated into one single easy to manage rental/finance and maintenance agreement, sometimes represented as a single or multiple Cost per Page associated with a volume of output or usage.
- Service Levels tailored to Clients specific needs.
- Comprehensive management information with consolidated billing.
- Ability to deploy complete document control and routing workflows
- On-going optimisation of the environment throughout the agreement life.
There are a wide variety of other services and software applications that can be added to this core feature set.
MPS solutions are underpinned by key software applications that fall into one of four categories:
- Discovery and design software (Print Audit) to analyse and plan for the change required in implementing a MPS
- Print Management software to manage the volume and nature of print and authenticate users
- Device Management software to monitor and manage the print devices in an environment
- Scan Routing software to route scans to various destinations including fax servers, network folders, email or workflows
